For organizations with meaningful facilities — and more capital decisions than internal capacity.

Your Outsourced Facilities & Capital Management Team

Start with a one-time Baseline Facility Assessment & Capital Plan. Keep SSI on as your ongoing facilities team. When capital work moves, we oversee the project — or manage the owner’s side through closeout.

Baseline → Manage → Execute → Update

Add facilities and capital-management capacity without adding another full-time hire. We sit on the owner’s side — independent of the contractors who do the work.

Why organizations engage Stag

Facilities get expensive when everything is managed reactively.

Facilities run reactively

Work gets scheduled when something fails. Roofs, HVAC, boilers, pavement, and life-safety systems rarely get addressed on a planned cycle.

Capital needs are not documented

Leadership is asked what the next five years will cost, and the answer is assembled from memory, old quotes, and photos on a phone.

Compliance lives in scattered places

Due dates, certificates, and vendor records sit in inboxes, binders, and individual calendars — until someone asks for proof.

Administrators end up managing contractors

Business managers, GMs, and office staff are writing scopes, chasing bids, and supervising job sites on top of their actual jobs.

What changes with SSI

With SSI, ownership can answer five questions

  • 01

    What do we own?

A documented inventory of major facilities, systems, and site assets.

  • 02

    What needs attention?

Observable conditions, deficiencies, specialist recommendations, and open items in one record.

  • 03

What are we going to spend?

A prioritized multi-year capital plan with planning allowances and upcoming funding needs.

  • 04

    What has to happen next?

Compliance requirements, specialist evaluations, procurement needs, and capital projects tracked through action.

  • 05

    Who is managing it?

SSI maintains the owner-side record, coordinates the process, and provides project support when work moves.

SSI turns those answers into a maintained facility record and capital plan — not a one-time PDF.

Staffing capacity

Add facilities-management capacity without adding another full-time position.

Many organizations already have capable maintenance staff, administrators, property teams, or operations personnel. What they lack is dedicated bandwidth for long-range capital planning, facility records, compliance coordination, competitive procurement within project engagements, and owner-side project management. SSI fills that gap without requiring the organization to build another full internal management function.

Baseline

Establish the record

Facility record and multi-year capital plan.

Ongoing

Management capacity

Keep plan, compliance, and priorities current.

Projects

Oversight or Full PM

Add owner-side project support when capital work moves.

Specialists

When required

Coordinate technical expertise only when needed.

No dedicated facilities department

SSI becomes the owner’s organized resource for facility planning, compliance coordination, procurement, and projects.

Already have a Facilities Director? Good.

Where a Facilities Director or property manager already exists, SSI works as an extension of their team: additional field and documentation capacity, capital-plan support, board/CFO-ready reporting, compliance administration, and more concurrent project capacity — including procurement inside Oversight or Full PM engagements.

SSI organizes and controls facility spend you already approve — it is not another unrelated category of expense.

How it works

Baseline → Manage → Execute → Update

A living facility system — not a PDF. Execute includes competitive procurement and either Project Oversight or Full Project Management. Update loops back into Manage.

  1. 01

    Baseline

Build the facility record and multi-year capital plan — inventory, photo-supported findings, priorities, and planning allowances leadership can budget against.

  2. 02

    Manage

Keep the record current: compliance requirements, specialist input, open items, and upcoming work — a living system, not a PDF.

  3. 03

    Execute

When an item in the capital plan is ready, procure the work and either oversee it or manage the owner’s side through completion.

  4. 04

    Update

Capture actual costs, completed work, warranties, new conditions, and revised priorities — then loop back into Manage.

One-time baseline

One-time baseline engagement: build the facility record, establish priorities, and create the multi-year capital plan that SSI can continue to manage.

Ongoing Facilities & Capital Management is quoted separately. Project Oversight and Full Project Management are scoped when capital work moves.

Owner-side by design

We don’t sell the repair.

SSI helps you decide what needs to happen and manages the process on your behalf. We do not perform repairs, sell contractor work, accept contractor or specialist referral fees, or mark up third-party professional fees.

Contractors know their trade. SSI keeps the owner’s whole picture — priorities, compliance, procurement inside projects, and the capital plan.

FAQ

Common Questions

What does SSI actually do?
SSI is an outsourced owner-side facilities and capital management team. Baseline assessment builds the facility record and capital plan. An optional Management Program keeps it current. When capital work moves, Project Oversight or Full Project Management — including competitive procurement — gets the work done and updates the record.
What does the Management Program do month to month?
Keep the capital plan and open items current, run the compliance calendar and certificate follow-through, coordinate specialists when needed, prepare upcoming projects, report to management or the board on an agreed cadence, and capture actual costs and closeout records as work completes. It does not replace day-to-day maintenance staff or promise a full re-inspection of every asset every year.
Can we hire SSI only to get contractor bids?
No. Competitive procurement is included as the front end of Project Oversight or Full Project Management — not as a standalone bid-shopping service. Project engagements include a minimum initiation fee for that pre-construction work; if the project proceeds, it is credited toward the project fee.
What is the difference between Project Oversight and Full Project Management?
Both include competitive procurement. Oversight: after award, your team manages day-to-day while SSI monitors, reviews commercial items, documents, and escalates. Full PM: SSI also actively manages the owner’s side — meetings, action items, schedule/budget coordination. Contractors still run construction; the owner retains final approvals.
Why not just buy facilities-management software?
Software stores information. SSI builds the baseline, keeps the plan current, coordinates compliance and specialists, runs competitive procurement inside project engagements, and provides owner-side project oversight or management — the operating capacity most organizations lack, not another login.
